Choosing by purchase price hides the main question: what will you print, how many pages, how often, and what will ink, toner, printheads, paper and maintenance cost? A family producing colour homework has different needs from someone printing monochrome contracts or occasional photographs.

Log four weeks of real use

  1. Count black and colour pages separately.
  2. Record duplex, envelope, card and photo-paper needs.
  3. Note how often several pages are scanned or copied.
  4. Mark periods when the printer remains unused for weeks.

Cartridge, tank or laser

System May fit when… Cost or limit to check
Cartridge inkjet Volume is low, colour matters and space is limited. Yield, individual colour price, cleaning and idle behaviour.
Ink tank Volume is higher and a larger initial cost is acceptable. Included bottles, waste container, maintenance and printhead.
Monochrome laser Text dominates and quick document output matters. Starter toner, separate drum, power and physical size.
Colour laser Colour documents matter more than home photo quality. Four supplies, drums, fuser, weight and total cost.

Calculate page cost consistently

Divide supply price by its stated yield and add separately replaced items. Calculate black and colour independently. A standardised yield aids comparison but will not predict your exact spend because coverage, cleaning, quality and document mix differ. ISO/IEC 24711 defines a method for ink-cartridge yield; check which method the maker cites.

Build a two-year ownership estimate

Add purchase price, supplies for your own volume, paper, predictable maintenance items and any subscription. Use low and high scenarios. A cheaper cartridge machine may cost more after several replacement sets; a tank model may never recover its premium at very low volume.

Functions that change the workflow

  • Automatic duplex: prints both sides without manual handling.
  • ADF: feeds several scan pages; verify whether it scans both sides.
  • Closed tray: protects paper and reduces refilling.
  • Network destinations: useful only when formats and setup suit your workflow.
  • Screen: supports copying and error handling without an app.

Check compatibility

Verify operating systems, drivers, mobile printing, USB and Wi‑Fi band. Download the manual when a feature is essential. “Wi‑Fi” alone does not confirm cloud-free printing, scan-to-computer support or operation on a guest network.

Space, noise and energy

Measure with trays and covers open. Check paper exit, jam access and supply replacement. In shared rooms, first-page time and noise matter. ENERGY STAR provides criteria and a finder for imaging equipment; use the exact model’s specification for consumption and sleep behaviour.

Compare by use

  • Compare multifunction ink-tank printers
  • Compare duplex monochrome lasers
  • Compare Wi‑Fi multifunction printers with ADF

For networking, mobile use, scanning and security, continue with the focused Wi‑Fi multifunction printer guide.

Guarantee and final decision

Keep the specification, receipt and supply or subscription terms. Refer to the EU’s official guarantee guidance. Before paying, confirm technology, recommended volume, supplies, automatic functions and compatibility.
