Birth certificate: when it can be downloaded and when it arrives by post

Justice provides a fast route for a person’s own full certificate and broader forms for third parties, special languages or records requiring review.

Anyone needing their own full birth certificate can first try the instant service on the Justice Ministry’s electronic office. Instant delivery is not guaranteed: it depends on the record being digitised and on the applicant’s circumstances. If the system cannot issue it, the request is sent to the registry office or the applicant is told how to proceed.

The “My birth certificate in one click” route requires identification through Cl@ve, an electronic certificate or electronic ID card. It is designed for the registered person and generates a full certificate when the information can be checked online. A broader authenticated application must be used for another language, an extract or multilingual certificate, a stated purpose such as a first Spanish ID card or passport, or a request concerning someone else.

That general form may also issue the document immediately, but this is not assured. Where review is needed, an official processes the request and the certificate is posted to the address supplied. If the record is held by an office that is not computerised, the service may direct the applicant to attend in person.

No electronic identification means no instant download

Justice also offers an online form that does not require Cl@ve, but its result is always sent by ordinary post. It is therefore not an equivalent option for someone facing an imminent appointment. In the Valencian Community, applicants can also attend the Civil Registry where the birth is recorded or a computerised registry office; the regional government recommends booking an appointment.

The certificate type must match its intended use. A full certificate reproduces the complete entry and is required, for example, for certain Spanish ID-card or passport procedures. An extract summarises the registered information, while a multilingual certificate is intended for use in countries covered by the relevant convention. If the receiving body has specified one form, ordering another may mean starting again.

People have access to their own records. A request for someone else requires identification, the relationship and the purpose; depending on the case, the office may demand authorisation or evidence of a legitimate interest. Requests that cannot be issued instantly cannot be repeated with identical details until 15 days have passed. Before submitting another, the applicant should keep the receipt and check the case status.
